Own the planning, setup, and facilitation of recurring and ad-hoc VPM meetings (including vehicle program meetings, milestone checkpoints, readiness assessments, and daily standups).
Draft agendas, send calendar invites, coordinate meeting logistics, and proactively gather necessary pre-read materials or questions.
Perform ticket hygiene checks across Jira/Confluence (or other tools) to ensure data and content meet expectations ahead of meetings.
Capture and circulate meeting notes, action items, decisions, and unresolved issues.
Track follow-ups to closure and serve as a liaison to ensure alignment between meeting participants and downstream stakeholders.
Identify gaps, inefficiencies, or blockers in current operational processes and help develop lightweight solutions or workflows to address them.
Serve as the central coordinator for VPM team operations, streamlining communication, surfacing escalations, and creating visibility across programs.
Collaborate with Program Managers to optimize team cadence, structure, and governance.
Requirements:
3+ years of relevant experience in technical program coordination, operations, or project support, ideally within the automotive, robotics, aerospace, or hardware industry.
Proven experience managing complex meeting logistics and driving follow-through in a fast-paced, cross-functional environment.
Highly organized with excellent written and verbal communication skills.
Proficiency in productivity and collaboration tools such as Google Workspace, Jira, Confluence, and Slack.
Comfortable working with ambiguity and proactively seeking structure where needed.
Detail-oriented with a strong bias for action and ownership.
Familiarity with vehicle/product development processes, hardware/software integration, Issue resolution and change management, is a strong plus
