Description

Responsibilities:

  • Own the planning, setup, and facilitation of recurring and ad-hoc VPM meetings (including vehicle program meetings, milestone checkpoints, readiness assessments, and daily standups).
  • Draft agendas, send calendar invites, coordinate meeting logistics, and proactively gather necessary pre-read materials or questions.
  • Perform ticket hygiene checks across Jira/Confluence (or other tools) to ensure data and content meet expectations ahead of meetings.
  • Capture and circulate meeting notes, action items, decisions, and unresolved issues.
  • Track follow-ups to closure and serve as a liaison to ensure alignment between meeting participants and downstream stakeholders.
  • Identify gaps, inefficiencies, or blockers in current operational processes and help develop lightweight solutions or workflows to address them.
  • Serve as the central coordinator for VPM team operations, streamlining communication, surfacing escalations, and creating visibility across programs.
  • Collaborate with Program Managers to optimize team cadence, structure, and governance.


Requirements:

  • 3+ years of relevant experience in technical program coordination, operations, or project support, ideally within the automotive, robotics, aerospace, or hardware industry.
  • Proven experience managing complex meeting logistics and driving follow-through in a fast-paced, cross-functional environment.
  • Highly organized with excellent written and verbal communication skills.
  • Proficiency in productivity and collaboration tools such as Google Workspace, Jira, Confluence, and Slack.
  • Comfortable working with ambiguity and proactively seeking structure where needed.
  • Detail-oriented with a strong bias for action and ownership.
  • Familiarity with vehicle/product development processes, hardware/software integration, Issue resolution and change management, is a strong plus
