Job Description:

We are looking for a motivated Project Administrator to join our Office of Architecture – ARB Review team. The Architecture Review Board (ARB) is responsible for ensuring that enterprise applications align with the organization’s strategic goals, standards, best practices, and architectural guidelines. This role supports the efficient operations of architectural and engineering projects by performing various administrative and technical tasks.

Responsibilities:

  • Organize and schedule meetings and appointments.
  • Prepare and distribute correspondence, transmittals, and forms.
  • Prepare, distribute, and track a variety of technical documents.
  • Manage documentation and maintain it in proper locations on the network system.
  • Assist project manager and design staff in preparing reports, spreadsheets, and presentations.
  • Provide administrative support and undertake project tasks as requested by the supervisor or project manager.
  • Assist with Architecture Review Board related matters.
  • Respond to inquiries received from users in the Enterprise Architecture Review mailbox in a timely fashion.
  • Attend various ARB meetings, take meeting minutes, and follow up on action items.

  • Experience with Jira Cloud and SharePoint is a plus.

Experience Requirements:

  • Bachelor’s degree or related experience (3 to 6 years).
  • Office experience in Architecture, Engineering, or Software Development preferred.
  • Knowledge of office management systems and procedures.

  • Excellent written and verbal communication.
  • Ability to perform project admin tasks with speed and quality.
  • Proficiency in Excel and JIRA.

  • Self-starter.
  • Quick to learn new tasks.

Additional Information:

  • The role supports the governance function with architecture.
  • Interview process includes 1-2 video calls, with a possible in-person interview.
  • Working hours: EST 8-5 or 9-5.
  • Hybrid work schedule: 4 days onsite and 1 day remote, with team members in the US and China.
  • Contract duration until the end of 2024, with the possibility of extension.
  • Day-to-day activities include working with the Product Owner to define requirements, capturing requirements during team meetings, and ensuring detailed requirement capture with the Dev lead.
